MyU3A Setup

Things are best set up in the following order:

Options:

  • In the live database:
  • Things which must be set for you:
  • Whether you use Regions (usually the default, no, is used).
  • Year partitioning: either 4 Terms (default) or 2 Semesters.
  • Renewal Basis: Annual (default) or Cyclical. Cyclical is usually only used for very large U3As to ease the bottleneck of renewals.
  • Home State (normally set when your Database is generated.
  • Priority Levels. This is if you are using priorities for enrolment.
  • Things you can set:
  • General:

  • Email backups address to receive a zip file of csv files for many of the tables used in the database, sent overnight at the time of backing up your U3A database.
  • This email address is recommended to be an address used only for this purpose, to enable rules to be set up to exclude all spam.
  • PayPal email address. Required if you allow payments online by credit or debit card or PayPal account. Online payments are via the PayPal system, but members do not need a PayPal account to use it. They can use any debit or credit card.
  • This is better to be an address used only for this purpose, to enable rules to be set up to exclude all spam.
  • Enrolment Email. When a member is put into a class, either by direct enrolment or from a Wait List, an email is sent to the member giving details of the enrolment in the class. It is useful to verify that the message has been sent when a member claims that the message was not received (It will usually be found in their Junk or Spam folder).
  • This is better to be an address used only for this purpose, to enable rules to be set up to exclude all spam.
  • Omail result. Email address to receive the summary resulting from an omail message.
  • This is also sent to the sender so this need not necessarily be defined.
  • AGM date to enable a report of members entitled to vote to be generated. Whether members of a particular member type may vote at the AGM is determined in the Member Type app.

  • Member Type

  • This is explained fully in the Help in the Member Type app.
  • Member Fees

  • See the help associated with this app. Note that if you have multiple fees set for a given membership grade, the most recent fee at the date for which enrolment is being made is charged. This makes it easy to set a reduced fee later in the year, if desired.
  • Term Calendar

  • See the Help in this app. You may enter several years ahead if you wish but at least the current year must be defined. Most of the information required can be obtained from the Internet. Search for School Holidays and Public Holidays for your State.
  • Leaders: Categories

  • Define the various class leader categories. You should keep Tutor (tut) as the principal class leader.
  • Volunteers: Service Categories

  • The leader categories should all be defined in service categories with the same names and codes. All other categories of volunteering should also be included.
  • Volunteer Categories are for all defined categories of volunteering. These reflect the volunteer options seen in the member's profile (so that they can volunteer online).
  • Venues

  • Every class must have a venue (i.e., somewhere to run it). These must be defined before a class can be defined. See the Help in the Venues app.
  • Members

  • Normally these will be loaded in the take-up.
